Setting Job Dates, Times and Arrival Windows in Movermate

Learn how to set and update Job dates, preferred time slots, start and end times, and customer arrival windows in Movermate.

Overview

Accurate Job scheduling helps your team organise bookings, allocate trucks and crew, and communicate expected arrival times to customers.

Movermate allows you to configure default shift times and arrival windows globally or adjust scheduling details for individual Leads and Jobs.

This guide explains how to manage both settings and understand the different scheduling fields.

1. Understanding Job Scheduling Fields

Movermate provides several scheduling fields to help you plan Jobs accurately.

Field

What It Means

Job Date

The date the service is scheduled to take place.

Shift Slot

The selected scheduling period, such as Morning, Afternoon or All Day.

Estimated Start Time

The planned time the Job is expected to begin.

Estimated End Time

The planned time the Job is expected to finish.

Arrival Slot

The time window during which the crew is expected to arrive.

Actual Start Time

The time the Job actually started, when recorded.

Actual End Time

The time the Job actually finished, when recorded.

Important: Estimated times are used for scheduling, while actual times reflect recorded Job activity. An arrival window is different from the Job's estimated start and end times.

2. How to Configure Shift Slots Globally

You can configure default start times, end times and arrival windows for your business using Shift Slots in Settings.

Movermate provides three standard shift slots:

  • Morning (AM) Shift

  • Afternoon (PM) Shift

  • All Day Shift

Each shift slot has its own start time, end time and arrival window.

Steps to Configure Global Shift Slots

  1. Go to Settings.

  2. Open Shift Slots under the Jobs & Scheduling settings.

  3. Find the shift slot you want to update.

  4. Click Edit.

  5. Update the required start time, end time and arrival window.

  6. Save the changes.

Repeat these steps for any other shift slots you want to configure.

The following example shows the shift times configured in the screenshot:

All Day

These are example settings and can be adjusted according to your business requirements.

3. How to Enable or Disable the Arrival Slot

Movermate provides an Enable Arrival Slot option in the Shift Slots settings.

This setting controls whether the Arrival Slot is shown in Job details.

To manage this setting:

  1. Go to Settings → Jobs & Scheduling → Shift Slots

  2. Locate Enable Arrival Slot.

  3. Turn the toggle ON to show the Arrival Slot in Job details.

  4. Turn the toggle OFF to hide it.

Important: This setting controls the visibility of the Arrival Slot in Job details.

4. How to Update Scheduling Details for an Individual Lead or Job

If a particular booking requires different timings from your default shift settings, you can update its scheduling details individually.

Steps to Edit an Individual Schedule

  1. Go to Leads or Jobs.

  2. Open the required Lead or Job.

  3. Select the Job Schedule tab.

  4. Locate the relevant schedule.

  5. Under Schedule Details, click Edit.

  6. Update the required scheduling information.

  7. Click Save.

This allows you to manage the timing of a specific booking without changing the global shift slot configuration.

5. How to Set a Job Date

The Job Date determines when the service is scheduled to take place.

You can enter a Job Date when creating the booking or update it when the customer requests a change.

To review or update the date:

  1. Open the required Lead or Job.

  2. Review the date shown under Job Details.

  3. Click Edit in the relevant section.

  4. Update the required Job Date.

  5. Save the changes.

If the booking contains multiple schedules, review the dates associated with each schedule.

Important: If the Job has multiple schedules or linked Child Jobs, check the date of each schedule under Job Schedule. Updating one date should not be assumed to update every linked schedule.

6. How to Set a Shift Slot and Estimated Job Times

Shift Slots help you organise bookings into preferred scheduling periods.

For example, a customer may request a Morning booking, but your team may need to adjust the estimated start or end time for that particular Job.

To update the schedule:

  1. Open the required Lead or Job.

  2. Go to Job Schedule.

  3. Under Schedule Details, click Edit.

  4. Select the required Shift Slot.

  5. Review or update the estimated start and end times.

  6. Save the changes.

Example:

A Morning shift may normally run from 7:00 AM to 12:00 PM, but an individual Job may require different estimated times.

You can adjust that Job's scheduling details without changing the default Morning shift configuration.

7. How to Set an Arrival Window for an Individual Job

An arrival window tells the customer when the crew is expected to arrive.

For example, an arrival window of 7:00 AM–8:00 AM means the crew is expected to arrive within that period.

To update the arrival window:

  1. Open the required Lead or Job.

  2. Go to Job Schedule.

  3. Under Schedule Details, click Edit.

  4. Locate the arrival time fields.

  5. Update the required arrival start and end times.

  6. Save the changes.

Important: The arrival window and estimated Job start time are different scheduling details. Make sure both are consistent with the customer's booking arrangements.

Note: If the Arrival Slot is not visible in Job details, check whether Enable Arrival Slot is turned on under Settings → Jobs & Scheduling → Shift Slots.

8. How to Set Scheduling Details for a Child Job

If a booking requires multiple services, dates or stages, you can create a Child Job linked to the existing Parent Job.

Each Child Job can have its own date and scheduling information.

Steps to Create a Child Job Schedule

  1. Open the existing Parent Job.

  2. Go to Job Schedule.

  3. Click + Add Schedule.

  4. Select the required Job Type and Branch, where applicable.

  5. Enter the Job Date.

  6. Select the Time Slot.

  7. Set the Job Start Time and Job End Time.

  8. Enter the Arrival Start Time and Arrival End Time.

  9. Complete any other required information.

  10. Click Save.

Example: If a customer requires packing on Monday and moving on Tuesday, you can create a Child Job for the additional service and manage its timing separately.

Important: Each Child Job is a separate linked schedule. Its date, shift slot, estimated times and arrival window can be managed independently from the Parent Job.

9. Scheduling Jobs from the Calendar

You can schedule Jobs directly from Calendar → Scheduling.

Create a Job for a Specific Time

  1. Go to Calendar → Scheduling.

  2. Navigate to the required date.

  3. Click the desired time on the scheduling timeline, or click and drag to select a start and end time.

  4. Select Job.

  5. Complete the required details and save.

Assign an Existing Job

You can also drag an existing Job from the Unassigned panel onto the required truck's timeline.

Important: Dragging an existing Job onto the timeline schedules that Job. It does not create a new or duplicate Job.

10. What to Check After Changing a Job Schedule

After updating a Job date or time, review the following:

  • Correct Job Date

  • Selected Shift Slot

  • Estimated Start and End Times

  • Arrival Window

  • Assigned truck and crew

  • Linked Child Job schedules, if applicable

  • Customer booking confirmations and reminders

This helps ensure that the Job is scheduled correctly and the relevant information is consistent.

  • Use Lead or Job → Job Schedule → Schedule Details → Edit to adjust an individual booking.

  • Morning, Afternoon and All Day shifts can have different default times.

  • Enable Arrival Slot controls whether the Arrival Slot is shown in Job details.

  • Estimated Job times and arrival windows serve different purposes.

  • Actual Start and End Times reflect recorded Job activity, rather than planned scheduling times.
