Storage Agreement Form

The Storage Agreement Form lets you collect a customer's confirmation, alternate contact details, and payment method before their goods go into storage. This article covers how to configure the form in Settings, how to send it to a customer, and what the

1. Configuring the Storage Agreement Form

Step 1: Open the form settings

  • Click Settings in the left-hand sidebar.

  • Under General Settings, click Storage Agreement Form.

Step 2: Customize the Welcome Page

The Welcome Page Content card controls the heading and subheading shown on the first page of the form.

  • Click Edit on the Welcome Page Content card.

  • Update the Heading (default: "Storage Agreement") and Subheading (default: "Let's get started! This agreement must be completed before we can begin storing your goods. If you have any questions, please don't hesitate to contact us.").

  • Save your changes.

Step 3: Turn on the Alternate Contact Person (ACP) step

The Alternate Contact Person (ACP) toggle asks customers to provide the name, email, and phone number of an alternate contact.

  • On: Customers see this step right after clicking Start.

  • Off: Customers skip straight to payment.

Toggle this on or off depending on whether you need a backup contact on file.

Step 4: Choose accepted payment methods

Under Mode of payment for storage agreement, choose which options customers can use to set up billing:

  • Card – Visa, Mastercard, Amex

  • Direct Debit – BECS Direct Debit (Australian bank account)

Both can be enabled at once, letting the customer pick their preferred method during the form.

Step 5: (Optional) Enable Identity Verification

Turning on Enable Identity Verification adds a Stripe Identity check to the workflow. When it's off, customers never see this step.

If Stripe Identity isn't active on your Stripe account yet, you'll see a prompt with setup steps:

  • Go to Stripe Dashboard – Navigate to Settings → Identity.

  • Activate Identity – Click the "Activate Identity" button.

  • Accept Terms – Review and accept the terms and conditions.

  • Return to Movermate – Come back here and click "Try Again."

You can click Open Stripe Dashboard to complete these steps, then Try Again to confirm. If Identity is already enabled on your Stripe account, select "I've already enabled it, save anyway."

Please note: Stripe Identity is a paid Stripe service. Additional charges may apply when you use identity verification. Please refer to Stripe Identity for current pricing and details.

Step 6: Edit the Storage Terms and Conditions

At the bottom of the page, click Edit next to Storage terms and conditions to open the document editor.

This opens a drag-and-drop editor where you can:

  • Edit the document name

  • Update the heading and body text (e.g., clauses covering Storage, Storage Fees, Customer Responsibilities, Access & Collection, Insurance, Damage or Loss, Payment & Outstanding Amounts, and Customer Acceptance)

  • Add columns, buttons, dividers, headings, paragraphs, images, or HTML blocks from the content panel

Click Save Changes once you're done.

2. Sending the Storage Agreement to a Customer

Step 1: Go to the customer's storage job

  • Navigate to Storage → Storage Jobs.

  • Open the relevant customer's job.

Step 2: Send the agreement

In the Quick Actions panel on the right, click the Actions dropdown and select Send Storage Agreement.

Step 3: Review and send the email

A send panel opens pre-filled with:

  • From – your sending email address

  • To – the customer's email address

  • Template – the linked email template (see below)

  • Subject – e.g., "Hi [Customer First Name], your storage agreement is ready!"

The email body includes a summary of what the customer is agreeing to (storage fees and billing terms, access arrangements, insurance coverage, prohibited items, and the notice period to end the agreement) along with a Review & Sign Agreement button.

Attach files or toggle Email Tracking if needed, then click Send.

Merge tag for the agreement link

The Review & Sign Agreement button (or any link/button you add in the email template) should point to the following merge tag so it automatically generates the customer's unique link to the form:

{{Customer_Storage_Agreement_Url}}

Insert this merge tag into the URL/link field of your button or hyperlink when editing the email template. When the email sends, Movermate replaces it with a unique, customer-specific link that takes them straight to their Storage Agreement Form.

Setting up and tagging the email template

To use your own email content instead of the default:

  • Go to Settings → Communication → Email Templates.

  • Click Create Template, or edit an existing one (e.g., "Storage Agreement Email").

  • Build the email content, making sure any call-to-action button uses the {{Customer_Storage_Agreement_Url}} merge tag as its link.

Email content, subject line, and merge tags such as {{Customer_First_Name}} and {{Company_Name}}.

  • From the template list, click the ⋮ menu next to your template and select Tag as Storage Agreement.

This tag links the template to the Send Storage Agreement action so it's used automatically whenever you send the form.

3. What the Customer Sees

When the customer opens the link from their email, they're taken through the following steps:

Step 1: Welcome page

Displays your custom heading and subheading, with a Start button.

Step 2: Alternate Contact Person (if enabled)

The customer can optionally enter:

  • Full Name

  • Email

  • Mobile Number

They can also check "Storing as a business?" to reveal additional required fields:

  • Business Name

  • ABN (11 digits)

  • Business Address

Step 3: Storage Payment Information

The customer selects a payment method:

  • Card – Visa, Mastercard, Amex (processed securely via Stripe)

  • BECS Direct Debit – Australian bank account

Only the methods you enabled in Settings will appear.

Once a card is entered, the customer sees a "Card saved successfully" confirmation showing the card brand, last 4 digits, and expiry date.

Step 4: Identity Verification (if enabled)

If turned on, the customer completes a Stripe Identity check before finishing.

Step 5: Review Document

The customer reaches Step 5/6 – Review Document, where the full Storage Terms and Conditions (the document you edited in Settings) is displayed for them to read in full. Once they've reviewed it, they click Sign & Continue.

Step 6: Sign Document

A Sign Document panel slides up over the terms, where the customer:

  • Draws their signature in the signature box (with the option to Clear and redo it).

  • Ticks the checkbox confirming "I acknowledge that I have read, understood, and agree to be bound by the Terms and Conditions outlined above."

  • Sees the date auto-filled (e.g., "Dated: 24/09/2026").

  • Clicks Continue once both the signature and checkbox are completed — the button stays disabled/greyed out until both are provided.

Step 7: Confirmation

The customer lands on an Agreement Submitted confirmation page showing:

  • A success checkmark and confirmation message: "Your storage agreement has been received and is being processed. You will receive a confirmation email shortly."

  • Reference number (matches the Storage ID/job reference)

  • Date submitted

  • Payment method selected (e.g., "Card")

  • Your business's contact details (phone and email) if they need help

4. Where the Payment Method Appears Afterwards

Once the customer completes the form and saves a card or direct debit method, that payment method automatically syncs back to the job in Movermate. You can find it under:
