How to Connect Google Calendar to Movermate

Sync your Google Calendar with Movermate to automatically manage schedules, view availability, and keep your jobs and events in sync — no more double-checking two calendars.


Step 1: Go to Settings

From the left-hand navigation menu, click Settings.


Step 2: Open App Integration

Under General Settings, click App Integration.


Step 3: Find Google Calendar

On the Apps Integration page, locate the Google Calendar card and toggle it on.


Step 4: Allow Access

A permissions pop-up will appear, showing what Movermate will be able to do with your Google Calendar:

  • View and manage your calendar events

  • See your calendar availability

  • Create and update events on your behalf

Click Allow Access to continue.


Step 5: Confirm the Connection

Once connected, the Google Calendar card will now show a Configurations link instead of just the toggle — this confirms your account is linked.


Step 6: Open Configurations

Click Configurations to customize how your jobs appear in Google Calendar.

You'll see your Connected Account (the Gmail address currently linked) at the top of the panel, with an option to Disconnect if you ever need to unlink it.


Step 7: Customize the Event Title

In the Event Title field, use Personalization tags to automatically pull in job details (e.g. {{Company_Name}} Move | {{Pickup_Suburb}} → {{Dropoff_Suburb}}).

Click {...} Personalization to see the full list of available tags:

  • Customer First Name, Last Name, Full Name

  • Customer Mobile Number, Email, Secondary Email/Mobile

  • Customer Billing Address

  • Job Source, Job ID, Service Type, Job Type


Step 8: Customize the Event Description

Use the same personalization system for Event Description to include:

  • Move Details — Customer name and phone

  • Job Information — Date, arrival time, service type, move size

  • Locations — Pickup and drop-off addresses

  • Notes — Booking notes


Step 9: Invite Assigned Crew to Calendar Events

Toggle Invite assigned crew to calendar events on if you want crew members to automatically receive a calendar invite when they're assigned to a job.

How it works

  • When you assign a crew member to a job, a Google Calendar event is created or updated with the job details (customer name, pickup and drop-off addresses, move date, and time).

  • The assigned crew member is added as an attendee on the calendar event, and Google sends them an email invitation directly to their inbox.

  • If you swap or remove crew members, the calendar event updates automatically. New crew members receive an invitation, and removed crew members are taken off the event.

  • Only jobs scheduled for today or a future date will send invitations. Past jobs are skipped.

Where it works

This applies whenever you assign crew to a job — whether from the Job Schedule page (Moving, Packing, or Unpacking tabs), the Resource Calendar drag-and-drop, or when editing a job.

Requirements

  • Google Calendar must be connected in Settings → Connected Apps.

  • The assigned crew member must have a valid email address on their employee profile.

Note: This setting only sends invitations when crew members are added or removed from a job. Changes to the job's time, title, or location will update the calendar event silently without sending additional emails, to avoid spam.


Step 10: Sync Jobs to Mapped Branch Calendars

Toggle Sync jobs to mapped branch calendars on if you want jobs to sync to a specific Google Calendar based on the branch they're assigned to.

How it works

When you enable this setting, Movermate automatically pulls in all your branches from Settings → Branches and lists them under Branch Calendar Mappings. You simply pick (or paste in) which Google Calendar each branch should use — no manual setup needed, your branches appear automatically.

  • Jobs assigned to a branch will sync to the calendar mapped to that branch.

  • Any branch you don't map will use your default connected calendar.

How to Find a Calendar ID

  1. In Google Calendar, click on the "+" icons

  2. Give it a name (e.g. "Sydney") and click Create calendar.

  3. It will also appear in your calendar list in the main Google Calendar view.

  4. Click the new calendar's name in Settings for my calendars to open its settings, then scroll down to the Integrate calendar section.

  5. Copy the Calendar ID shown there (it looks like [email protected]).

  6. Back in Movermate, paste the Calendar ID into the matching branch field under Branch Calendar Mappings, then click Update.


Step 11: Save Your Changes

Once you're happy with your configuration, click Update in the top-right corner to save.


Disconnecting Google Calendar

If you ever need to unlink your Google account, open Configurations and click Disconnect next to your connected account.
