Overview: Let your customer list their own items. Send them an email with a link, and they open a simple page to choose their items. Their list is then ready for you to use in the quote and for the move.
1. Send the Inventory Link
Open the Lead or Job Summary.
Click the Actions button.
Click Send Inventory Link.
An email window opens with the email already filled in:
Template: The template tagged as Inventory, for example Inventory Details Request.
Subject: For example, “Let’s Get Ready for Your Move - Complete Your Inventory”.
Message: The email text, with the customer’s name and a Complete Your Inventory button.
Check the email. You can edit the subject or the message, add files with Attachments, and tick Email Tracking if you want to track the email.
Click Send to send it, or Cancel to close without sending.
2. How the Email Template Works
The email uses the template that’s tagged as Inventory in your Email Templates (in Settings). It includes two merge tags that create the customer’s link:
Merge tag | What it does |
| Adds the customer’s inventory link as a text link. |
| Adds the customer’s inventory link to a button, such as Complete Your Inventory. |
3. Create Your Own Inventory Email Template
You can write your own email instead of using the standard one.
Go to Settings and open Email Templates.
Create a new template and tag it as Inventory.
Write your message.
Add
{{Customer_Inventory_Url}}for a text link, or{{Customer_Inventory_Button_Url}}for a button.Save the template.
Your template will then appear when you click Send Inventory Link.
Important: Include at least one of the two merge tags. Without one, the customer has no link to open.
4. What the Customer Sees
When the customer clicks the button or link, a page opens where they can add their own inventory. The page shows:
Their name and the Job ID.
A Search bar to find an item.
Categories across the top, such as Bedrooms/Study, Lounge/Family, Dining and Kitchen.
The items in each category, with their volume.
A Call Now button so they can call you.
5. How the Customer Adds Items
Click a category.
Click + beside an item, or type the quantity, to add it. Click − to reduce it.
Repeat for each category.
Click Next when finished.
Can’t find an item? The customer can add a custom item with their own name for it.
Note: Custom items added by the customer don’t have an image.
