How to View and Manage Timesheets in Movermate

The Timesheets section in Movermate provides a central place to view and manage your team’s recorded working hours. Managers can review clock-in and clock-out times, total hours, breaks, approval statuses, and individual employee records. Timesheets can also be filtered, grouped, manually added, viewed on a timeline, and downloaded.

This guide explains how to manage timesheets from the CRM.


Open the Timesheets Section

To access Timesheets:

  1. Log in to your Movermate account.

  2. From the left-side menu, click Time Sheets.

  3. The Timesheet page will open in Table view by default.

From here, you can review existing timesheets or use the available options to add, filter, organise, approve, reject, or download timesheet records.


Using the Table View

The Table view displays a detailed list of recorded timesheets.

If you are currently using Timeline view, click Table in the top-right corner to return to the table.

Timesheet Table Details

Each timesheet entry displays:

  • Crew Member – The employee associated with the timesheet

  • Date – The date of the recorded shift

  • Clock In – The employee’s starting time

  • Clock Out – The employee’s finishing time

  • Total – The total recorded working time

  • Break – The recorded break duration

  • Status – The current timesheet status


View Timesheets by Status

Use the tabs at the top of the page to view timesheets by status:

  • All – Displays all timesheet entries

  • Approved – Displays timesheets that have been approved

  • Pending – Displays timesheets waiting for review

  • Rejected – Displays timesheets that have been rejected for correction

The number beside each tab shows how many timesheet entries currently have that status.

For example, select Pending to view only the timesheets waiting for approval.


Search and Navigate Timesheets

Use the controls above the timesheet table to find and organise records.

Search Timesheets

Use the Search field to find a crew member or timesheet entry.

This is useful when reviewing a large number of employee records.

Select a Date or Date Range

The date selector controls which timesheet records are displayed.

To change the selected period:

  1. Click the displayed date range.

  2. Select the required date or period.

  3. Review the updated results.

You can also use the previous and next arrows beside the date selector to move between periods.


Group Timesheet Records

Timesheets can be grouped to make records easier to review.

Click the Group by dropdown above the table.

The available options are:

  • Group by team member

  • Group by date

Group by Team Member

This option organises timesheets under each crew member.

The group heading displays:

  • Crew member’s name

  • Number of timesheet entries

  • Total recorded hours

This is useful when reviewing working hours employee by employee.

Group by Date

This option organises timesheets according to the date they were recorded.

This is useful when reviewing attendance and working hours for a particular day.


Filtering Timesheets

Click Filter to refine the displayed results.

To apply a filter:

  1. Click Filter in the top-right corner.

  2. Expand the required filter.

  3. Select the appropriate options.

  4. Click Apply.

Available filters include:

Status

Filter timesheets by:

  • Pending

  • Approved

  • Declined

Employee

Use the Employee filter to view timesheets for selected employees.

To remove all selected filters, click Reset all.

Note: The main Timesheet status tab uses the label Rejected, while the Filter panel currently displays Declined.


Team Member Panel

The Timesheets panel on the right-hand side provides a quick summary of timesheets by team member.

For each employee, the panel displays:

  • Number of timesheet entries

  • Total recorded hours

Click a team member’s name to view only their timesheet records.

Select All team members to return to the complete list. This option also shows the total number of entries and recorded hours for the whole team during the selected period.


Approval Workflow

Submitted timesheets initially appear with a Pending status.

Managers can review each entry and update it to:

  • Approved – The timesheet is confirmed for payroll.

  • Rejected – The timesheet is returned to the crew member for correction.

Approve a Timesheet

To approve a timesheet:

  1. Find the required Pending timesheet.

  2. Click the three-dot menu beside the entry.

  3. Select Approve.

  4. Confirm the action if required.

The entry will move to the Approved tab.

Reject a Timesheet

To reject a timesheet:

  1. Find the required Pending timesheet.

  2. Click the three-dot menu beside the entry.

  3. Select Reject.

  4. Enter an explanation in the required Rejection Reason field.

  5. Click Reject to confirm.

The rejection reason explains what is incorrect or what needs to be updated.

The crew member can view the rejection reason, make the required correction, and submit the timesheet again.


Add a Timesheet Manually

Managers can manually create a timesheet when a crew member forgets to clock in or clock out.

To add a timesheet:

  1. Open Time Sheets.

  2. Click + Add Timesheet in the top-right corner.

  3. The Select a Team Member panel will open.

  4. Search for or select the required team member.

  5. The New Timesheet form will open.

The team member list may also show the employee’s associated role or department.

Enter the Timesheet Details

Complete the available fields in the New Timesheet form.

Date

Select the date the timesheet relates to.

Clock In

Enter the employee’s starting time.

Clock Out

Enter the employee’s finishing time.

Once the Clock In and Clock Out times are entered, Movermate will calculate and display the total recorded time.

Review the Time Breakdown

The form may also display a breakdown of recorded time, including:

  • Job Hours

  • Activities

  • Break

This provides additional visibility into how the employee’s time is distributed.

Add a Daily Breakdown

Use the Daily Breakdown section to add further information to the timesheet.

Click + Add entry and enter the required breakdown details.

Add Notes

Use the Notes field to enter any additional information about the timesheet.

Once all required information has been entered, click Save.

Click Cancel if you do not want to create the timesheet.


Using Timeline View

The Timeline view provides a visual overview of recorded working time across the team.

To open Timeline view:

  1. Go to Time Sheets.

  2. Click Timeline in the top-right corner.

The Timeline provides two viewing options:

  • Day

  • Week


Timeline Day View

Select Day to view recorded time for a single day.

Team members are displayed vertically, while the time of day is displayed horizontally.

This provides a visual overview of when each team member recorded activity during the selected day.

To change the day:

  1. Click the displayed date and select another date.

  2. Alternatively, use the previous and next arrows to move between days.

The Day view also provides access to:

  • Search

  • Download

  • Filter

  • Add Timesheet


Timeline Week View

Select Week to review timesheets across an entire week.

Each team member is displayed in a separate row, while the days of the selected week are displayed across the Timeline.

The employee’s total recorded time is also shown beside their name.

Use the date controls at the top of the page to move between weeks.


Filter the Timeline

The Filter option is also available in Timeline view.

To filter the Timeline:

  1. Click Filter.

  2. Select the required criteria.

  3. Click Apply.

This allows you to focus on selected employees or timesheet statuses.


Download Timesheet Data

The Download option allows managers to export timesheet information for the period currently being reviewed.

Before downloading, use the date, employee, status, and viewing controls to select the required records.

To download timesheet data:

  1. Open Time Sheets.

  2. Select the required date or date range.

  3. Select a team member if required.

  4. Apply any required filters.

  5. Click Download.

The downloaded report will contain the relevant timesheet records and recorded working hours for the selected period.

The Download option is available in both Table and Timeline views.

Tip: Select the required date range, team member, and filters before downloading to ensure the report contains the records you need.


Table View and Timeline View

Use Table view when you need to review individual entries and details such as:

  • Clock-in time

  • Clock-out time

  • Total hours

  • Break duration

  • Approval status

Use Timeline view when you want a visual overview of recorded time across the team for a selected day or week.

You can switch between the two views at any time using the Table and Timeline buttons.


Timesheets at a Glance

The Timesheets section allows managers to:

  • Review recorded working hours

  • View clock-in and clock-out times

  • Review total hours and breaks

  • View timesheets by status

  • Search and filter records

  • Select dates and date ranges

  • Group records by team member or date

  • Review totals for individual employees

  • Approve or reject timesheets

  • Add a reason when rejecting a timesheet

  • Manually create missing timesheets

  • Add daily breakdown entries and notes

  • Review recorded time using Day and Week Timeline views

  • Download timesheet data

These tools make it easier to manage employee attendance, payroll records, and working hours from one central location in Movermate.
