How to Manage Waybills in MoverMate CRM

How to Use Waybill Jobs in MoverMate CRM

The Waybill Jobs feature in MoverMate CRM allows you to assign multiple customer jobs to a single waybill. Since a single shipment may contain goods belonging to multiple customers across one or more containers, this feature helps you organise and manage those jobs within the corresponding waybill.

Using Waybill Jobs, you can associate each job with its respective container, making it easier to track which customer’s goods are being transported in each shipment. This provides better visibility into shipment planning, improves coordination, and ensures all assigned jobs are accurately linked to the correct waybill and container.


Accessing the Waybill Module

  1. Log in to your MoverMate CRM account.

  2. From the left sidebar, navigate to Waybill.

  3. The Waybill screen displays a complete list of all created waybills along with key information, including:

    • Waybill Number

    • Waybill Type

    • Transportation Method

    • Pickup Location

    • Drop-off Location

    • Pickup Agent

    • Drop-off Agent

    • Departure Date

    • Arrival Date

    • Slot Date

    • Time Slot

This overview allows you to easily monitor and manage all waybills from a single location.


Search, Filter, and Customise the Waybill List

To quickly locate or organise your waybills, several management options are available.

  • Use the Search bar to find a specific waybill.

  • Use the Filter option to narrow the list based on the available criteria.

  • The Columns option allows you to customise your Waybill list by showing or hiding specific columns according to your operational requirements.


Create a New Waybill

Add a new Waybill

  1. Click on + Add Waybill.

  2. A Create Waybill sheet pop-up will appear.


General Information

Enter General Information

Enter the basic shipment information.

Description – Enter a brief description to identify the shipment.
Method – Select the transportation method for the shipment, for example, Road, Sea, Rail etc.
Type – Select the appropriate waybill type.


Pickup Agent Information

The Pickup Agent section allows you to manage the details of the agent responsible for collecting the shipment.

Enter Pickup Agent Details

Agent Name – Search and select the pickup agent.
Branch Code – Select the branch code associated with the pickup agent.
Phone Number – Enter or verify the pickup agent’s contact number.
Email Address – Enter or verify the pickup agent’s email address.


Drop-off Agent Details

The Drop-off Agent section allows you to manage the details of the agent responsible for receiving the shipment.

Enter Drop-off Agent Details

Agent Name – Search and select the receiving agent.
Branch Code – Select the branch code associated with the drop-off agent.
Phone Number – Enter or verify the receiving agent’s contact number.
Email Address – Enter or verify the receiving agent’s email address.


Dates

Enter Shipment Dates

Specify the transportation schedule for the shipment.

Departure Date – Select the scheduled date when the shipment will depart.
Arrival Date – Select the expected arrival date of the shipment.


Locations

Enter Pickup and Drop-off Locations

Provide the shipment pickup and delivery locations.

Pickup Location – Enter the location from where the shipment will be collected.
Pickup Code – Select the location code associated with the pickup location.
Drop-off Location – Enter the destination where the shipment will be delivered.
Drop-off Code – Select the location code associated with the drop-off location.


Rail Booking

The Rail Booking section allows you to record rail transportation details for the shipment.

Enter Rail Booking Details

Rail Booking Number – Enter the booking reference number for the rail shipment.
Slot Date – Select the allocated rail booking date.
Time Slot – Select the allocated time slot for the rail booking.


Shipping Details

The Shipping Details section allows you to capture sea freight information for shipments transported by vessel.

Enter Shipping Details

Vessel – Enter the name of the vessel transporting the shipment.
Shipping Company – Enter the name of the shipping company responsible for the shipment.
Shipping Booking No – Enter the shipping booking reference number.


Create the Waybill

After completing all required information, review the entered details carefully.

Click Create Waybill to save the record.

The newly created waybill will immediately appear in the Waybill list and will be available for future tracking and management.
