Assigning Crew or Subcontractors in Movermate

Efficiently assigning crew members or subcontractors to a job ensures smooth operations and avoids scheduling conflicts. Additionally, assigning crew members correctly is crucial for payroll calculation, as it ensures accurate tracking of work hours and job completion details.

Follow this step-by-step guide to assign trucks, movers, or subcontractors within Movermate.

Assigning Crew (Trucks & Movers)

1. Access the Job Details

  • Navigate to the Jobs section from the left-hand menu.

  • Click on the job you want to assign a crew to.

  • Open the Job Schedule tab.

2. Assign a Truck

  • Under Crew, locate the Trucks & Movers section.

  • Click Add Truck to open a dropdown list of all available trucks, showing:

    • Truck Name

    • Size

    • Status

  • If a truck is UNAVAIL, hover over the status to see the reason:

    • The truck may already be assigned to another job at that date/time.

    • The truck may be marked as unavailable for maintenance or other reasons.

  • You can search for a truck using the search bar to quickly find the required vehicle.

  • Select an available truck and click Assign.

  • Even if a truck is marked unavailable, you can still assign it. The system will display a warning, but you will still be able to proceed with the assignment.

3. Assign a Mover

  • Under the Movers section, click Add to open a dropdown list of available movers.

  • Use the search bar to quickly find a specific mover.

  • Select the checkbox next to the mover's name to assign them to the job.

  • To assign a Team Leader, click the Star icon next to a mover's name.

    • There can only be one team leader per job.

    • The Team Leader is responsible for executing the job.

    • If the crew is using the Crew App, the Team Leader will receive the job details and manage the execution.

    • The company can track the job progress through the Team Leader.

  • Additional crew members can be assigned by selecting their checkboxes and clicking Assign.

  • Even if a mover is marked unavailable, you can still assign them. The system will give a warning but allow you to proceed.


Assigning a Subcontractor

1. Open the Job Schedule

Follow the same steps above to access the Job Schedule tab for the selected job.

2. Switch to Subcontractor Assignment

  • In the Crew section, toggle to Subcontractor.

  • Click Add Team.

3. Select and Assign a Subcontractor Team

  • A list of available subcontractor teams will appear.

  • Choose an available team to assign.

  • If the team is UNAVAIL, check their current schedule or choose another team.

  • Click Assign.

  • Even if a subcontractor team is unavailable, you can still assign them. A warning will be displayed, but you can proceed with the assignment.

4. Notify the Assigned Team (Optional)

Once assigned, click Notify to send a notification to the subcontractor.


Common Issues & Troubleshooting

1. Crew or Subcontractor is Unavailable

  • Check if they are already assigned to another job at the same time.

  • Reschedule or assign a different team.

  • You can still assign them, but a warning will be displayed.

2. No Trucks Available

  • Review other jobs to see if a truck can be reassigned.

  • Add a new truck to your fleet if needed.

3. Movers Show Unavailable Even Though They Are Not Assigned to Any Other Job

  • Their shift might not be added in the Roster section under Employee Resources.

4. Subcontractor Not Listed

  • Ensure they are added in the system under Resources.

  • If the subcontractor is added but not appearing, check if a team has been created under the subcontractor in the system.
