How to Create a Custom line item in Movermate CRM

Custom Line Items in Movermate CRM give you the flexibility to add specific pricing elements—such as unique services or products—directly to your estimates and invoices. Whether you need to charge for specialized equipment, unique service packages, or additional fees, this guide will walk you through the entire process.

Accessing the Custom Line Item Interface

  1. Log In: Begin by signing in to your MoverMate CRM account.

  2. Navigate to the Pricing Area: From the left-hand sidebar, click on Settings.

  3. Locate the Custom Line Items Section: Go to the Pricing tab in your MoverMate CRM settings. Under this tab, you'll find a dedicated section labeled Custom Line Items . Select this option to access and manage your custom line items.


Creating a New Custom Line Item

  1. Initiate the Creation Process: Click on the + Add New Item button. This will open a form where you can input the details for your new line item.

  2. Form Layout: The form is designed to capture all necessary information that defines the line item for your pricing structure.


Entering Custom Line Item Details

Fill out the form with the following details:

  • Item Name: Provide a clear and descriptive name for the line item (e.g., “Fragile Box Kit” or “Special Equipment Fee”).

  • Job Types: Select one or more job types to which this line item applies (e.g., “Local Moving,” “Commercial Moving”). This ensures that the pricing option is available where needed.

  • Unit of Measurement: Choose the appropriate unit (e.g., “Per Item,” “Per Hour,” or “Flat Rate”) that best fits how the charge is applied.

  • Price: Enter the cost associated with the line item.

  • Description (Optional): Add any additional information or context that will appear on estimates or invoices. This helps clarify the charge for both your team and your clients.


Configuring Automation for the Custom Line Item (Concise)

Enable Automation:
Activate automation in your MoverMate CRM settings to apply the line item automatically based on job parameters.

Define Trigger Conditions:

  • Job Types: Select applicable job types (e.g., Local Moving, Commercial Moving).

  • CBM Range: Set a minimum and maximum CBM (e.g., 5–10 CBM) to control when the item is triggered.

  • Job Size & Furnishing Type: Specify job size and furnishing type criteria to further refine the trigger.

  • Additional Conditions: Use the “Add or Condition” button to add extra criteria if needed.


Saving and Verifying the Line Item

  1. Save Your Work: Once all the required fields have been filled in, click the Save button to add the line item to your system.

  2. Confirmation: After saving, the new line item should appear in your list. Verify that the details are correct and that it’s available for selection in your pricing interface.


Using Custom Line Items in Estimates and Invoices

  1. Navigate to Estimates/Invoicing: Open the Estimate or Invoice section within MoverMate CRM.

  2. Select the Line Item: When building an estimate or invoice, locate your new custom line item from the pricing options.

  3. Configure as Needed: Adjust the quantity or add any extra details specific to the job at hand.

  4. Review and Finalize: Ensure the line item appears correctly and that the pricing reflects accurately before finalizing the document.


Editing or Deleting a Custom Line Item

  • Editing: To update an existing line item, return to the Custom Line Items interface. Click the Edit (pencil) icon next to the item you wish to modify, make your changes, and then save.

  • Deleting: If a line item is no longer needed, click the Delete (trash bin) icon. Note that deleting an item will remove it from future use but will not alter past estimates or invoices where it was applied.

A Custom Line Item allows you to create additional chargeable or non-chargeable items that can be added to jobs, leads, or invoices.
Examples include: packing service, additional labour, flight charges, storage charges, discounts, etc.

2. How do I create a new Custom Line Item?

  • Click “Add Item”

  • Enter Item Name

  • Select Tax (if applicable)

  • Select Unit (hour, item, fixed price, flight, m3, etc.)

  • Enter Price

  • Add a Description (optional)

  • Enable Automation Rules if you want it to auto-apply

3. When should I enable Automation Rules?

Turn ON automation rules when you want the line item to apply automatically based on:

  • Job Type (e.g., Unpacking, Local Moving, Commercial Moving)

  • CBM (Min–Max volume range)

  • Job Size (1 Bedroom, 3 Bedrooms, etc.)

  • Furnished Type (Lightly Furnished, Moderately Furnished, Fully Furnished)

4. Can I add multiple automation conditions

Yes. You can add multiple rules using “Add OR Condition”, meaning the line item will apply if any of the conditions match.

5. What happens if automation rules are disabled?

If automation is turned off, the line item will not apply automatically. It can only be added manually to a job, lead, estimate, or invoice.

6. Why is my line item not showing automatically?

Possible reasons:

  • Automation toggle is OFF

  • CBM/Job Size does not fall within the specified range

  • Incorrect Job Type selected

  • Furnished Type does not match

  • Conflicting rules with another item

7. What happens if I change the price of an existing line item?

Updates will apply only to new items added to jobs/leads.

Items already applied in old jobs remain unchanged.

8. Can I use merge tags in the Custom Line Item Name?

Yes. Merge tags are supported in the line item name field and will automatically replace with real job or lead data when the item is added.

9. Which merge tags can I use in the line item name?

Any merge tags supported by your CRM, such as:

  • {{Pickup_Address}}

  • {{Dropoff_Address}}

10. Can I create a merge tag for a Custom Line Item (e.g., item name, quantity, rate, unit) so I can use it inside estimate or invoice templates?

Yes.
Whenever you create a Custom Line Item in MoverMate, the system automatically generates a merge tag for that line item.

You do not need to create it manually.

You can find these merge tags inside the Email Templates → Merge Tags → Items section.

From there, you can insert the merge tag into any template, such as:

  • Estimate templates

  • Invoice templates

  • Job confirmation templates

  • Email or SMS notifications

These merge tags allow you to dynamically pull information like:

  • Item Name

  • Quantity

  • Rate/Price

  • Unit

So any time the line item is added to an estimate or invoice, the correct values will automatically appear in your template.
