How Customers Book, Prepare and Request Changes in the Portal

This article explains what your customer sees as they book their job, prepare for service day and request changes in the Customer Portal.

Book the Job

  1. The customer opens their portal link and reviews the estimate.

  2. They select Book Now.

  3. They complete each step under Your confirmation steps, for example:

    • Deposit – pay the deposit to secure the booking

    • Contact details – confirm email address and phone number

    • Booking confirmation – review and sign the document

  4. Each step is ticked when completed, and the counter updates, e.g. 3/3.

Booking Confirmed

Once all steps are done, the Overview shows a Booking confirmed card with every step ticked. The customer can select View booking summary at any time.

The progress bar at the top shows: Booking confirmed → Prepare for your service → Service day.

Prepare for Service Day

The customer then completes the Prepare for your service checklist:

  1. Check your inventory – make sure all items are listed, including anything added since booking.

  2. Confirm location and access details – check parking, stairs, lift bookings and any access restrictions.

  3. Review your service requirements – label each box with its destination room and mark fragile items.

  4. Keep your essentials with you – set aside keys, medications, documents and anything needed on the day.

When all four items are ticked, the customer selects Finish preparing.

The portal then shows You’re ready for your service day, with the service date and time slot. On service day, the Overview automatically shows job progress from your crew.

Request a Change

After booking, customers cannot edit details directly. Instead, they send a change request:

  1. In Job Details, under Addresses & access, select Request change.

  2. Enter only the values that need changing. Customers can request changes to:

    • Contact details – first name, last name, email address, phone number

    • Booking details – service date, time slot, move size, furnished type

    • Pickup and dropoff – address, property type, access, notes and an additional stop

  3. Submit the request.

Your team reviews the request in the CRM before anything is updated.

Important Reminders

  • The booking steps customers see are the ones you set up in Booking confirmation steps.

  • Any deposit paid is deducted from the invoice balance.

  • Customers should request changes before their scheduled service.

  • Review and action change requests in the CRM promptly.
