How It Works
Once the relevant permissions are enabled, crew members will see the option to Clock In / Clock Out in the Crew App.
Clock In → Marks the start of their shift
Clock Out → Marks the end of their shift
Total hours are automatically calculated and recorded in the system
Permissions Required
For this feature to be available:
Crew members must have the Timesheet / Clock In-Out permissions enabled
Once enabled, the option will appear in their Crew App interface
Viewing Timesheets (Back Office)
Navigate to:
Timesheet Section (Sidebar)
Tabs:
All – All timesheets
Pending – Awaiting approval
Approved – Finalised entries
Rejected – Declined entries
Filters & Controls:
Search bar to find entries
Date range selector
Group by date option
Timesheet Table Columns:
Name – Employee name
Date – Work date
Time Start / End – Clock in/out times
Break – Break duration
Total Hours – Auto-calculated hours
Status – Pending / Approved / Rejected
Customising Columns
Click on “Columns” (top right) to customise your view.
You can:
Show/hide fields like:
Name
Date
Job
Time Start / End
Break
Total Hours
Status
This allows you to tailor the table based on your workflow.
Filtering Timesheets
Click on “Filter” to refine your results.
Available filters include:
Date – Filter by specific dates
Status – View only Pending / Approved / Rejected entries
Useful for payroll processing or reviewing specific time periods.
Team Member Panel
On the right-hand side:
Approval Workflow
Timesheets can be:
Approved → Confirmed for payroll
Rejected → Sent back for correction
Clock In from Crew App
Accessing Time Clock
Open the Crew App
Navigate to the Time tab from the bottom menu
The Time Clock screen will display:
Attendance date
Shift timer
Punch In / Punch Out fields
Current activity status
If the user has not started their shift, the status will show “Not clocked in” and “No active shift.”
Starting a Shift (Clock In)
Tap on the Clock In button
A popup will appear with two options:
Clock in with Task
Starts the shift and allows the user to assign a task immediately
Recommended when the crew member knows what task they are working on
Clock in
Starts the shift without assigning a task
A task can be added later if required
Adding a Task
If Clock in with Task is selected:
The user will be taken to the task screen
Tap on Add Task
Enter:
Task name
Notes (optional)
Tap Save Task
Once saved:
The task becomes active
The shift starts and is linked to the task
Active Shift View
After clocking in, the screen will update to show:
Shift timer running
Punch In time
Current activity (task name if assigned)
Status such as “Working on task”
After Selecting “Clock in with Task”
Once the user selects “Clock in with Task”, they are taken to the task screen shown in the image.
On this screen:
The message “No Tasks Added” indicates that no task has been created yet for the shift
The user is prompted to add a task before proceeding
To continue:
Click on the “Add Task” button
Enter the required task details (task name and optional notes)
Save the task to begin the shift with an active task
This step ensures that the shift is linked to a specific activity, allowing for better tracking and reporting of work performed during the shift.
Adding and Saving a Task
After clicking Add Task, the user will see the task creation screen shown above.
On this screen:
Task name
Enter the name of the task you are working on (e.g., Loading, Packing, Driving)Notes
Add any additional details related to the task (optional)
To proceed:
Fill in the required task details
Click on Save Task
Once the task is saved:
The task becomes active
The shift continues with the selected task assigned
The system starts tracking time against this task for accurate reporting and timesheet records
This ensures all work performed during the shift is properly recorded and linked to specific activities.
During the Shift
The following actions are available:
Start Task
Allows the user to start a new task during the shift
Break
Temporarily pauses the shift
Status changes to “On break”
A Resume option will appear to continue the shift
Clock Out
Ends the shift
Available Actions
Start Task
Allows the user to begin a new task during the shift
Useful when switching between different activities
The newly selected task will become the current active task
On this screen:
The currently active task (e.g., Sample Task) is displayed at the top with the label “Currently active”
The time indicates when the task was started
Adding a New Task
To begin working on a different task:
Click on Add Task
Enter the new task details (task name and optional notes)
Save the task
Once saved:
The new task becomes the active task
The previous task is automatically stopped
Time tracking continues under the newly selected task
This allows users to switch between multiple activities during a shift while maintaining accurate time tracking for each task.
Break
Pauses the shift temporarily
Time spent on break is tracked separately and excluded from total working hours
During Break
After clicking Break, the screen updates as shown above.
On this screen:
Status changes to “On break”
The shift timer continues running, but break time is tracked separately
Break duration is displayed (e.g., 00:00:05)
The current task remains visible under Current Activity
Available Actions During Break
Resume
Click Resume to end the break and continue the shift
The status will change back to “Working on task”
Start Task
Allows switching to a different task after the break
Clock Out
Ends the shift directly from break if required
Ending a Shift (Clock Out)
Tap on Clock Out
The system will stop tracking time
The user will be redirected to the Submit Shift screen
Submitting the Shift
On the Submit Shift screen, review:
Job start and end time
Billable start and end time
Break duration
Total hours worked
Tap Submit to finalise the shift.
Shift Completion
Once submitted:
Status updates to “Attendance marked”
Punch In and Punch Out times are recorded
Total hours are calculated
A summary of the shift is displayed
Daily Breakdown
The Time Clock screen also shows:
Number of tasks completed
Time spent on each task
Timesheets View in CRM
Once the shift is completed and submitted from the Crew App, the data is reflected in the Timesheets section of the CRM, as shown above.
This view provides a complete overview of all recorded shifts and activities.
What You Can See
Each entry includes:
Name – Crew member name
Date – Work date
Time Start / End – Clock in and clock out times
Break – Total break duration
Total Hours – Automatically calculated working hours
Status – Indicates whether the entry is:
Pending (awaiting review)
Approved
Rejected
Status Workflow
All submitted shifts initially appear as Pending
Admins or managers can review and update the status to Approved or Rejected
Approved entries are considered final for reporting and payroll
Filters and Controls
Search bar to find specific entries
Date range selector to filter by time period
Group by date to organise entries
Columns toggle to customise visible fields
Filter panel to refine results further
Team Member View
On the right panel:
Displays all team members
Shows number of entries and total hours per person
Allows quick filtering by selecting a specific employee
Viewing Timesheet History for a Specific Employee
To view detailed timesheet history for an individual employee:
Go to Resources
Click on Employees
Select the required employee profile
Navigate to the Timesheet section within the profile
Here, you will be able to:
View all past shifts for that employee
Check clock in and clock out times
Review break durations and total hours
See the status of each entry (Pending / Approved / Rejected)
This provides a more detailed, employee-specific view compared to the main Timesheets table.
